What You Should Do to Do It Right

 

A good implementation process is key when your journey with digital technology is about to begin. Say no more, we got you! This is why in order to help you make this transition smoother, we talked to our implementation consultant, who shares his point of view on the matter.

New Year - new resolutions. Is there a better way to start a brand new year than a digital revolution of your company? The answer is: obviously not! Whether you have been postponing this decision for as long as you can remember or went with the thought: the sooner, the better, we are very glad that you came to the conclusion that there is no going forward without a proper construction software.

Now that you’re here, we would like to share with you our tips and tricks on the implementation process of any technology and how to do it right.


What is an Implementation Process?

Before we go into detail, let’s start with defining what the implementation process is and what it involves. Implementation is the process that turns plans as well as strategies into actions with a view to achieve all of the goals set before.

As each business is different, the implementation process will vary depending on the client and the company’s structure. Although it is hardly ever exactly the same, the process follows a structured and well-established plan.

Our Strategies and Tips on How to Do It Right

According to our implementation specialist, there are three main points when it comes to implementing:

    Setting the goals

    This is probably the most crucial step. You need to set the goals that you wish to achieve within the system because it is not possible to implement everything at once. You must choose and focus on only a few goals for your organisation. For example, improving collaboration with people on-site.

    It is really important to have the goals set, as it gives you both the timeline and the plan of action.

    Nominating the champion

    Now that you’ve set the goals, you need to choose someone within your company who you trust the most to lead the change in the organisation. This person, also known as a champion, has to be technically-oriented, well-organised and possess skills necessary for good communication with the team. Finally, the champion knows everything that is happening inside the company, from employees’ responsibilities to completed and sent projects.

    Learning path

    You get unlimited and free access to a really huge package of knowledge, such as a video academy, support course. So, if at any point you feel like you missed something during the process or there is something unclear, you don’t need to wait two weeks for the meeting with your implementation consultant. Instead, you can address this issue immediately by yourself using the video academy.

What should the client focus on to benefit from the software?

  • Prepare the roadmap

  • Communicate any changes to the rest of the team - so that everyone is on the same page and no time is wasted.

  • Share responsibilities when overwhelmed - when the champion has too much on the plate, it would be a good idea to have the backup or a small team of people helping out.

  • Address the feedback


Archdesk’s Approach Step by Step

Let’s imagine you’re our brand-new client eager to learn everything from scratch. Curious how the process would look like? Here’s our step by step guide:

  1. Implementation Package
    Customers receive it as soon as they join Archdesk. Also known as “the package of knowledge”, it contains the information on where to start, how the implementation will look like, the instructions with access to the video academy and tutorials.

    Additionally at this stage, during the kick-off call, we ask the client a few questions about their current challenges within the company, future ambitions and goals they want to achieve with us in the long term. Generally, this stage takes up to 7 days.

  2. Testing the system
    The client has access to Archdesk and the basic process is set. The company runs some initial projects once the data is collected. This phase includes feedback directly addressed to the Archdesk team and lasts from one to three months depending on the complexity of the project. During this phase, the customers should check if the goals set at the very beginning were achieved.

  3. Going live with the system
    At this point, the system becomes one single source of truth. Everyone inside the company is using the system, which makes it a great base for collaboration and communication. At this stage, the Archdesk team doesn’t get involved much, as the company members make the changes internally and teach one another how to use the system in a correct way. If the users have any doubts or problems concerning the system, they can always reach our support team by clicking on the support query option.
